Senior Accountant

General Summary

Appliance World Limited (AWL) is looking for a detail-oriented senior accountant to perform and coordinate accounting duties within our organization. The senior accountant's responsibilities include preparing financial reports, performing account reconciliations, maintaining the general ledger, preparing tax returns, assisting with audit preparations, and performing other accounting duties as assigned. To be successful as a senior accountant, you should have a solid working knowledge of Generally Accepted Accounting Principles (GAAP), strong financial analysis skills, possess strong Excel skills, be detail-oriented, highly organized, and able to work with little to no supervision and perform under pressure.

Corporate Sales Manager

General Summary

The Corporate Sales Manager is responsible for increasing sales in the corporate space. You are required to visit potential clients to initiate sales conversations and write periodic sales reports. Part of your job will involve managing inquiries through telephone and email correspondences as an avenue of maximizing sales.

Roles and Responsibilities:

• Meeting the marketing team daily to follow up on existing enquiries and about new enquiries and also to suggest, assist in identify and setting up sales strategy.
• Involve yourself in meeting the clients themselves so as to ensure a higher change of order confirmation.
• Have your own set of enquiries which you are directly following up.
• Preparing quotations, PPT presentations and even doing basic air conditioning site surveys. Confirming orders, working with accounts to see that documentation to process the order is done and collection of outstanding monies.
• Knowing about projects which will require air conditioning through having genuine relationships with consultants, clients and contractors.
• Coordinating with our design engineers and project managers to see that they quote on time and that they do not unintentionally ‘frustrate’ consultants or clients. You will need to get a basic founding in the operations the building industry.
• Keeping in touch with and checking with consultants and main contractors’ site foreman to see that they are happy with our team and our project manager. You will be surprised to find out about one’s frustration simply because you decided to ask!
• Meeting our corporate customers all the time formally and informally to ensure they are happy.
• A lot of your time will go in ensuring that project managers do their tasks in time. For example, submission of quotation requests, applications for payments, bank guarantees, etc.
• Building a relationship with our tendering department to see that any issues are resolved. You will be responsible for following up on all the tenders submitted by the company to the point of award in a timely manner. A weekly report is expected of you.
• Monthly, Quarterly and Annual Market update report on new services, competitors, business opportunities.
• Set up sales plan in order to archive sales target required by the company.
• Detailing sales action plan to ensure that the target will be achieved on a monthly, quarterly and annual basis.
• You will be responsible for Maintenance Department Marketing that is bringing in new clients as well as getting the old ones renewed.
• Support, motivate staff member to achieve individual and team target.
• Please note that you may be called upon to perform in such other related duties from time to time as may be deemed fit that are not necessarily stipulated above.

Job requirements:

• Must have a bachelor’s degree in business administration, Business computing or any other related field. CIM will be an added advantage.
• Must have at least five (5) years’ experience in sales in a fast paced environment.
• Field based corporate sales job, with 95% of the time spent on meeting prospective clients. This is not a desk job.
• Closely follow up all submitted quotations/tenders.
• Good knowledge of email and MS Excel is necessary.
• Must have at least 5 years of experience.

Work conditions:

• The position is based Appliance World Limited – Kampala, Bugolobi with 50% time spent in the field.
• Normal working hours at Appliance World Ltd are 8.30am to 6.00pm Mondays to Saturdays. However, your hours of work, whilst not being less than those stipulated above, depend on the extent of your workload at any particular point in time.

Personal Assistant to MD

General Summary

Appliance World Ltd is hiring a Personal Assistant to the Managing Director. This is a role with a lot of pressure as the MD works closely with over 30 people directly and follows up. The role calls for long hours.

Roles and Responsibilities:

• Programing the MD’s daily schedule.
• Seeing that the tasks allocated to other staff are done by the employees on time. Task management is a very important part of your role and you must on a daily basis follow up and ensure that all of the employees have done what they are supposed to.
• Applying for and having permits for expatriate staff processed.
• Involving in human resources quite heavily- this falls under the MD.
• Handling tasks that the MD is responsible for directly.
• Ensuring statutory compliance by getting and processing documents on time e.g. payment of Local Service Tax, ensuring the company has a trading license. • Ensuring that the multitude of reports that the MD needs are given to him on time, whether from you or to be done by others.
• Keeping a detailed ‘tab’ and being on top of all other department operations. The MD will always ask YOU questions about other departments, their problems, their performance; you must KNOW.
• Involving in collection of debt directly. The MD duly controls this.
• Being in charge of contracts and renewals.
• Organizing and filing of all the MD’s documents and documents he asks for.
• Involving in preparing tenders as well as monitoring the tendering department.

Service Centre Manager

General Summary

Appliance World Ltd has a department that deals in repairing faulty electronics. We are looking to hire a Manager that will handle the division. Must be detail-oriented, highly organized, and able to work with little to no supervision and perform under pressure.

Duties and Responsibilities:

• Receiving Customers with a warm welcome.
• Receiving faulty items and getting clear and detailed information about the items from the Customers.
• Scheduling appointments for the customers and giving proper timing.
• Raising job cards for all items that are received in our Service Centre even if they are not LG items both manually and on System.
• Ensuring that diagnosis of items is done within 24hrs of receipt and repair done within 72 hrs maximum after collecting 50% deposit for repairing the item, if not covered under warranty.
• Ensuring that a daily operational report is made to capture information on how many items were collected and repaired on Google Sheets and reporting them to the Service Centre Manager and a copy of that must be submitted to the MD using the same Google Sheets.
• Calling customers to inform them to collect the repaired items and also give them a happy call to find out if their items are working properly.
• Ensure that when a customer is coming to collect his/her item, a Job Card is signed and it is the very thing used to identify his item.
• Ensure payment is done for items where orders have to be placed and those that are repaired.
• Technician Allocation and follow-up of their work and monitoring the work done and checking up with customers to that effect.
• Collection of all the Customer Satisfaction reports from the field technicians and preparing a report on the productivity of the technicians and how the customer is rating them and presenting the data as it is and presenting the data to the MD on a weekly basis, preferably every Friday.
• Keeping records of the time taken to resolve each complaint. This report should be shared with the Managing Director thrice a week.

Human Resource and Administration Manager

General Summary​

Appliance World Limited (AWL) is hiring a Human Resource and Administration Manager who will lead all aspects of the Human Resources function. Must be detail-oriented, highly organized, and able to work with little to no supervision and perform under pressure.

Duties and Responsibilities:

Staff contracts: This entails both incoming staff and the ones already working. You are responsible for ensuring that each staff working for the organisation has a running contract and no one should join without a contract. Every month report of all staff and the status of their contract should be reviewed with the managing Director.

Staff Attendance: This is to be prepared and monitored daily so that you keep a tab on those who are either late or absent. This will reduce on the staff lateness and also cab down staff absconding from duty because should there be a red flag, you will solve on time.

Staff Issues: The company employee over 200 staff and each one of them may have one or two issues. You will be required to meet the staff daily in their respective departments and resolve their problems. Should there be need to meet the managing director, should be done within 24hrs so that the staff are given feedback on time. For this a weekly report should be done and given to the managing director presenting issues raised and against solutions given.

Payroll and Salary Payment: You are responsible for ensuring that staff are paid by 30th of every month and you are solely responsible for preparing salaries for staff on monthly basis. This means that your attendance should be ready by 26th of every month and prepare the payroll.

PPE for staff: Part the staff are technicians and others are loaders who require PPE at all times that is Overalls, Safety boots, Helmets, Hand Gloves, eye goggles etc. to be able to do their work. You are expected to ensure that they all have without fail. A monthly report showing that all staff have PPE should be given to the managing Director.

Recruitment: The company often employs staff for vacant positions, for positions where a staff has either been terminated/ resigned. You are required to shortlist candidates, arranging interviews and having timely recommendations. This means that within one week a position must be filled.

Monthly Approvals: These include stationary, transport for staff, airtime for staff, welfare and signed once at the end of every month. You are expected to prepare them and get approvals from the Managing Director.

Administrative Duties: There are some administrative duties like getting leave forms, loan forms, advance forms and other day today requisitions of the organisations like getting letter heads approved, business cards approval and any other approvals that are required to ensure smooth running of the operations in the organisation.

Performance Review: You are expected to motivate staff by having monthly reviews and giving incentives in form of bonuses to the best performers. This should be done through Heads of Departments and personal interaction with employees. This will not only help the staff to improve but will also keep the staff working happily.

Organisation of office space: The office should be kept clean and all desks should be well organised. You should have cleaning signs in place at all times while cleaning, proper filing should be done by all staff so that there is littering of paper among others.

Policies of the company: There are so many policies that are supposed to be followed by the organisation and should be in place such as EHS Policy, HR Policy, Alcohol and Drug Abuse Policy, Anti-corruption policy, Accident Protection Policy. And even fire extinguishers should be in place and a quarterly report should be given to the Managing Director showing that they are okay.

Weekly Meetings with Departmental Heads (HODs): HODs face different problem with their staff and need an HR manager to intervene and resolve their issues. These are day to day issues such as a staff coming late, a staff making mistakes, in their work, a staff having an attitude problem, not following instructions. Some of these problems are there but being covered up by HODs in the name of not clashing with staff. Sitting with this staff and talking to them helps a great deal.

Managing Directors Day to Day Instructions:

The Managing Director has daily meetings in which sometimes it is not that staff don’t follow his instructions or don’t do their work as instructed so he will be compelled to call you to take some action like meeting of staff, issuing of warning letters, having hearings with staff and an issuing of termination letters.

Bridging a gap between employees and management:

Staff should be comfortable working in the organisation. They should feel free to raise their issues and should deal with them on time. You should be in position to ensure that both the staff and management are happy. You should be arranging monthly parties for team building and involving management. In a nutshell, the company should conducive enough for staff and management.

Insurance for the company:

Every year the company renews insurance policies that cover different aspects of the organisation like stock, staff, buildings, theft, vehicles and others. The onus of ensuring that the policies are issued at least one month before expiry is on you.

Company Utilities:

You are expected to ensure that the company makes payments for different utilities such as water, electricity, garbage collection, gardening among others.

Legal matters of the organisation that affect staff:

There are two aspects to this, some staff report and you need to handle the matter to the end however, there are also staff that we need to report for not following contract terms like not servicing notice and absconding, like being called for hearings and they don’t appear, like if you want to issue a summary dismissal letter etc.

Project Manager Air Conditioning

General Summary

Appliance World Limited (AWL) is looking to hire a Project Manager Air Conditioning. Must be familiar with the necessary work procedures, systems and procedures. Review equipment condition to ensure compliance, must be detail-oriented, highly organized, and able to work with little to no supervision and perform under pressure.

Duties and Responsibilities:

• You will be required to coordinate air conditioning projects from award to the time of commissioning, end defects liability period and until the time we are fully paid.
• You will be responsible for knowing about the details of every project under the air conditioning division and other divisions where asked. These include ensuring that the works are on program, preparing updated programs, preparing work status reports, preparing dependency reports following up with the client / contractor/ consultant on any issue hindering our progress.
• Preparing procurement schedules for all projects and ensuring that goods are ordered on time, paid for on time and arrive on time.
• Calling for meetings when required and attending all sites and / or meetings called for by the coordinator or any other party and preparing minutes for the same.
• Note that minutes for any meetings that you attend should be prepared by the next working day.
• Ensuring that one or two weekly meetings are held where status is discussed in detail and in preparing work programs, work status reports and dependency lists for the same and ensuring that these are reviewed by the MD and set off by the next working day. At the time of writing these meetings are scheduled to take place every Saturday. However, should the meeting time not be sufficient, another meeting must be held by the following Tuesday and not later.
• Visiting sites to count actual quantities of materials on site and comparing them to what was realized and what was on the BOQ and submitting reports to the MD every two weeks.
• Making site meetings for every project and ensuring and ensuring all parties attend.
• Preparing applications of payment and ensuring that they are submitted on time.
• Drafting all communication as and when required.
• Alerting required parties of any foreseen delays on activities well in advance.
• Involving in collection of payments to see that they are payed on time with the correct amount.
• Doing rounds by calling the contractor and consultants of projects we are involved in to see that they don’t have any complaints and resolving any complaints which they may have.
• Attending all meetings that the M.D has with any the project managers.
• Submitting weekly reports which clearly show project status for all projects.
• Any other duties that may be assigned to you from time to time.
